Registration
Participation is open to all persons interested in the field of Ecology.
We recommend that you read the information below regarding registration before registering for the Congress. We also recommend you visit every page of this website to explore all the options before registering. Once you have read this information, please click on the orange registration button which will take you to the Online Registration Form.
Alternatively, please download and use the hard copy registration form (PDF, Size: 3.2MB) to note choices of functions, accommodation, tours, field trips and workshops before proceeding with the online process.
Please note that all persons intending to attend the Congress must register, including Invited Speakers, Chairpersons, Delegates, Sponsors and Exhibitors. Please read through this section carefully before you complete your online form.

*Members: a reduced rate has been secured for members ESA (Australia), NZES (New Zealand) and INTECOL individual member. If you are not a member of these associations please register at the non member rate. If registering at the membership rate please indicate which association you are a member of and include your membership details if applicable. You must be a member at the time of registering.
** Student: A student is defined as a holder of a student identification card from a recognised tertiary or secondary educational institution or international student card. Students must be currently studying full time to qualify for the discounted rate. A copy of your student identification card is required when you submit your registration form. Without this copy, the full registration fee will be charged.

Entitlements
Full Delegates
The registration fee entitles all full delegates to the following:
- Access to all Sessions
- All official documentation including program booklet, electronic copy of abstracts and list of participants
- Welcome Reception
- Morning and Afternoon Teas
- Congress Satchel
- Entrance to Trade Exhibition
- Hot Air workshop (Wednesday)
Day Delegates
The registration fee entitles all day delegates to the following:
- Access to all Sessions on nominated day
- All official documentation including program booklet, electronic copy of abstracts and list of participants
- Morning and Afternoon Teas on nominated day
- Congress Satchel
- Entrance to Trade Exhibition on nominated day
- Hot Air workshop (Wednesday)
Lunches
Lunches will not be included in the registration fees. Alternatively delegates have the choice to pre-purchase their lunch on a day-by-day basis during the Congress. You can purchase your lunch tickets when you register for the Congress. You will not be able to purchase Congress lunch tickets onsite at the Congress. Eateries and restaurants can be found within walking distance of the Congress Venue.
The lunch includes the following:
- Sandwiches / Bagels / Wraps or Rolls
- Seasonal Salad
- Cold Quiche / Frittata
- Sliced Tropical Fruit
- Fruit juice
Minimising INTECOL’s Ecological Footprint:
Provision for contributing to a voluntary Carbon Offset fee of $5.00 per delegate is available at the time of registering.
The INTECOL Organising Committee will measure the ecological footprint of the Congress. Should you wish to opt-out of paying this fee, please select your reason at time of registering, this will allow us to collect the data we require for reporting purposes.
Information regarding our approach to minimising our ecological footprint and our approach to carbon offsets will be added on this webpage.
Payment
NOTE: Registrations will not be processed or confirmed until payment is received in full.
Payment may be made by cheque or credit card. MasterCard, Visa, American Express and Diners Club are the only credit cards accepted at the Congress. Please note all transactions by credit card will appear on your statement as payment to Congress by THPL.
Cheques should be made payable to INTECOL 10. All payments by cheque incur a $10 cheque processing fee. Your name and full address should be typed or printed clearly on the back of the cheque. Cheque payments from overseas must be a bank cheque in Australian Dollars drawn on an Australian Bank. Cheques must arrive at the following address no later than the 3 August 2009. Congress postal address is GPO BOX 128 SYDNEY NSW 2001 AUSTRALIA. No other currency will be accepted.
Payments by electronic funds transfer (EFT) will not be accepted.
Confirmation of Registration
Your registration and payment will be acknowledged in writing with confirmation of your requirements according to your registration form. Your registration will not be processed or confirmed if payment does not accompany your form. This confirmation letter can be used for VISA application purposes.
Your letter of acknowledgment will include any further advice necessary prior to your arrival at the Congress.
Cancellation and Refund Policy
Cancellations must be notified in writing to the Congress Managers.
Registration Fees:
- Before 16 April 2009 will incur an A$100.00 cancellation fee.
- Before 13 May 2009 will receive a 50% refund of fees paid.
- After 16 June 2009 there will be no refund.
Accommodation Fees:
- Deposit must be paid or credit card details given at time of booking to guarantee reservation.
- Deposit is non-refundable at 09 July 2009.
Social Fees:
- Payments are non-refundable at 16 June 2009.
Tour Fees:
- Payments are non-refundable as of 16 June 2009.
Entrance to the Congress
Each Congress participant will receive a name badge on registration. The badge will be your official pass and must be worn to obtain entry to all sessions and to included social functions.
Australian Visa Application
Delegates wishing to travel to New Zealand do not need a visa or permit to visit New Zealand if they are an Australian citizen travelling on an Australian passport or if they are a citizen of a country which has a visa waiver agreement with New Zealand. Currently travellers from more than 50 countries do not require a Visitor's Visa for stays less than three months. You do require:
- A passport that is valid for at least three months after your departure from New Zealand
- An onward or return ticket to a country that you have permission to enter
- Sufficient money to support yourself during your stay - approximately NZ$1000 per month per person

All travelers to Australia, other than New Zealand citizens, require a valid entry VISA prior to travel to Australia. For many nationalities an Electronic VISA or Electronic Travel Authority (ETA) can be obtained from your travel agent or airline making your travel arrangements. Please see your travel agent or airline for further details.
VISA’s are either issued electronically (ETA) with nothing appearing in the passport or through application where a sticker is required in the passport (Non-ETA).
It is advised to apply for your VISA as soon as possible to ensure processing time. The minimum time frame stated for an Australian VISA application is six (6) weeks.
Insurance
Registration fees do not include insurance of any kind. It is strongly recommended that at the time you register for the Congress and book your travel you take out an insurance policy of your choice. The policy should include loss of fees/deposit through cancellation of your participation in the Congress, or through cancellation of the Congress, loss of international/domestic air fares through cancellation for any reason, loss of tour monies through cancellation for any reason including airline or related services strikes within Australia, failure to utilise tours or pre-booked arrangements due to airline delay, Force Majeure or any other reason, medical expenses (including sickness and accident cover), loss or damage to personal property, additional expenses and repatriation should travel arrangements have to be altered. The Congress Managers cannot take any responsibility for any participant failing to arrange their own insurance. Insurance is to be purchased in your country of origin.
